Privacy & cookies

How we collect, use and protect your personal data, and the choices you have.

Effective date: 6 October 2026. This replaces our previous policy dated 17 May 2018.

1. Who we are

Capture-Me Photobooths (“we”, “us”, “our”) is a photo booth hire business based in Aylesbury, Buckinghamshire. We are the controller of the personal data described in this policy, which means we decide how and why it is used. We follow the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations, as amended by the Data (Use and Access) Act 2025.

2. What we collect

Information you give us

  • Enquiries: your name, email address, phone number, the products you're interested in, your event date, venue postcode, any notes you add, and whether you'd like to hear about offers.
  • Bookings: the above plus your address, event details (venue, times, type of event), your print design choices, and payment records. Card payments are handled by our payment providers; we never see or store your full card details.
  • Emails, calls and messages you send us.

Information collected automatically

  • Website and booking portal logs: technical data such as your IP address, browser type and the pages requested, used to keep the services secure and working.
  • Analytics, only if you agree: how you use our website, such as pages visited, time on page, device type and approximate location. See Cookies.

We don't ask for, and don't want, sensitive (“special category”) information such as health details. We don't make any decisions about you using solely automated processing.

Do you have to give us your data? No, but we need your name, contact details and event details to answer an enquiry or take a booking. Without them we can't provide our service.

3. How we use it, and why

The law requires us to have a valid reason (a “lawful basis”) for each use of your data:

4. Marketing emails

If you have enquired about or booked our services, we may occasionally email you about similar products and offers, unless you've told us not to. Our enquiry form asks for your preference, and every marketing email includes a simple way to unsubscribe. You can also opt out at any time by emailing info@capture-me.co.uk. Opting out of marketing won't affect your booking.

5. Photos taken at events

As set out in our terms and conditions, we may use photographs taken at events in our online gallery and in advertising and promotional material. If you would rather we didn't use an image of you, email info@capture-me.co.uk and we'll remove it from our gallery and won't use it in any new material.

6. Who we share it with

We only share your data with service providers who help us run our business. They act on our instructions, must keep your data secure, and may not use it for their own purposes:

  • BoothBook, our booking system (booking.capture-me.co.uk), which stores enquiries, bookings and customer contact details;
  • Stripe, Square and PayPal, which process payments. As payment providers they also have their own legal obligations (for example fraud prevention), so please see their privacy policies too;
  • Google (Google Analytics), only if you accept analytics cookies;
  • our website host and email provider;
  • the providers of the galleries embedded on our website (photoboothtemplates.com, pbbackdrops.com and boothgallery.com), which receive technical data such as your IP address when those pages load;
  • our accountant, for tax and accounting.

We may also disclose personal data where the law requires it, or where it's necessary to establish or defend legal claims, prevent fraud or protect someone's safety.

7. Transfers outside the UK

Some of our providers (for example payment and analytics providers) may process data outside the UK. When they do, we make sure your data is protected by a recognised safeguard: either UK “adequacy” regulations (such as those covering the EEA, or the UK–US data bridge for certified US companies), or approved contractual protections such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses. Contact us if you'd like more information about these safeguards.

8. How long we keep it

After these periods we delete or anonymise the data securely.

9. Keeping it secure

Our website and booking portal are only served over encrypted (HTTPS) connections. Our backups and data storage are encrypted and password protected, and only people who need your data to provide our service can access it. No method of transmission or storage is completely secure, but we take appropriate technical and organisational measures to protect your data, and we'll tell you and the ICO if a breach is likely to put you at risk, as the law requires.

10. Your rights

Your right to object. You can object at any time to us using your data on the basis of legitimate interests, including for marketing or using your image in promotional material. If you object to marketing, we will stop.

You also have the right to:

  • access the personal data we hold about you and receive a copy;
  • have inaccurate data corrected;
  • have your data erased where we no longer have a valid reason to keep it;
  • restrict how we use your data in certain circumstances;
  • data portability: receive data you've given us in a commonly used format, or have it sent to another organisation, where we use it on the basis of consent or contract;
  • withdraw consent at any time where we rely on it, for example for analytics cookies, using the “Cookie settings” link at the bottom of every page. This is as easy as giving consent and doesn't affect anything we did before you withdrew it.

To use any of these rights, email info@capture-me.co.uk or call 07835 408696. There's normally no charge. We'll respond within one month, although for complex requests this can be extended by up to two further months, in which case we'll tell you why. We may need to confirm your identity first.

Children

Our services are aimed at adults, and we don't knowingly collect personal data from children. Bookings must be made by someone aged 18 or over. If you believe a child has sent us their details, please contact us and we'll delete them.

11. Cookies

Cookies are small files stored on your device. On this website, we only use non-essential cookies if you say yes, and you can change your mind at any time using the Cookie settings link at the bottom of every page.

Our booking portal uses essential session and security cookies so that enquiries and bookings work. The enquiry form on our contact page and the galleries on our templates, backdrops and gallery pages are provided by other companies and may set their own cookies, which are covered by their privacy policies. You can also block or delete cookies in your browser settings, although parts of the booking portal may then not work.

12. Complaints

If you're unhappy with how we've handled your personal data, please tell us first so we can put it right. Email info@capture-me.co.uk with “Data protection complaint” in the subject line, or call 07835 408696. We will acknowledge your complaint within 30 days, look into it, and tell you the outcome without undue delay.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:

13. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page with its effective date. If we make significant changes that affect how we use your data, we'll let you know by email or with a notice on our website.
